Terms of Service
Clear terms for using Voisight responsibly
Effective Date: 1 January 2026. Version: 1.0.
Introduction and acceptance of terms
Welcome to Voisight. Voisight is a mobile reporting platform operated by Voisight (“we”, “us”, or “our”). The platform is designed to assist licensed residential care facilities, foster care agencies, and their authorized staff across the United States in creating, managing, and submitting compliance documentation including incident reports and progress notes.
If you are using Voisight on behalf of a care facility, agency, or organization, you represent that you have the authority to bind that organization to these Terms. In that case, “you” refers to both you individually and the organization you represent.
Description of the service
Voisight provides a voice-first, mobile-first reporting platform for use by care facilities and their authorized personnel. The service includes:
- Voice recording and AI-powered transcription of care observations and incident descriptions
- Automated generation of structured care reports aligned with applicable state documentation requirements, including California CDSS Form 2991
- Role-based access control for supervisors, administrators, and care workers
- Report review, approval, and finalization workflows
- Secure report storage and PDF export functionality
- Notification and alert systems for report status updates
- Team and facility management tools for agency supervisors and administrators
The service is intended exclusively for use by licensed care professionals and authorized agency personnel. It is not a consumer product and is not intended for use by the general public or by children.
User accounts and roles
Account creation
To use Voisight, you must create an account. You agree to provide accurate, complete, and current information during registration and to keep your account information updated at all times. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
User roles
The platform operates a three-tier role structure:
- Supervisor: the agency owner. Supervisors self-register, have full visibility across all facilities and reports within their agency, and can invite and remove administrators and care workers. Supervisor accounts cannot be removed by any other user.
- Administrator: facility-level managers invited by a supervisor. Administrators manage care workers, review submitted reports, finalize approved reports, and send reports back to care workers for correction. Administrators cannot edit the body content of a submitted report.
- Care worker: direct care staff invited by an administrator via a single-use access code. Care workers create and submit reports and can only view their own reports.
Account security
You must immediately notify us at security@voisight.com if you suspect unauthorized access to your account or any security breach. We reserve the right to suspend or terminate accounts that we believe have been compromised or used in violation of these Terms.
Multi-factor authentication
Supervisor accounts are required to use multi-factor authentication (MFA). Administrators and care workers are strongly encouraged to enable MFA.
Acceptable use
You agree to use Voisight only for lawful purposes and in accordance with these Terms. You agree that you will:
- Use the platform solely in connection with your legitimate professional duties at a licensed care facility or agency
- Ensure all reports and information submitted are accurate, truthful, and complete to the best of your knowledge
- Not submit false, misleading, or fabricated care records or incident reports
- Not attempt to circumvent, disable, or interfere with security features of the platform
- Not use the platform to harass, abuse, or harm any individual
- Not attempt to access accounts, data, or systems belonging to other users without authorization
- Not use automated tools, bots, or scripts to access or interact with the platform
- Comply with all applicable federal, state, and local laws and regulations
Content and intellectual property
Your content
You retain ownership of all reports, voice recordings, transcripts, and other content you create and submit through Voisight (“Your Content”). By using the platform, you grant Voisight a limited, non-exclusive, royalty-free license to process, store, and transmit Your Content solely to the extent necessary to provide the service to you.
Our intellectual property
All rights in the Voisight platform, including its software, design, user interface, AI models, algorithms, branding, and documentation, are owned by or licensed to Voisight. Nothing in these Terms transfers any intellectual property rights to you. You may not copy, modify, distribute, sell, or lease any part of our platform or services.
AI-generated content
The platform uses artificial intelligence to generate structured report drafts from voice transcriptions. You are responsible for reviewing, editing, and verifying all AI-generated content before submission. We do not guarantee the accuracy or completeness of AI-generated outputs and accept no liability for errors in content you submit without correction.
Data and privacy
Your use of Voisight is also governed by our Privacy Policy, which is incorporated into these Terms by reference. You agree to comply with all applicable privacy laws, including:
- The California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA)
- The Children’s Online Privacy Protection Act (COPPA) as applicable
- Applicable state laws governing the privacy of records relating to children in care
- Your facility’s data protection obligations under applicable licensing requirements
You acknowledge that the platform processes sensitive information relating to children in residential care. You agree to use the platform in a manner consistent with your legal obligations to protect such information and to limit access to authorized personnel only.
Timestamps and record integrity
Voisight automatically records a tamper-evident timestamp at the moment a report is initiated. This timestamp is locked and cannot be altered by any user at any role level. Submitting a report constitutes your confirmation that the information within it is accurate and relates to events that occurred at or around the recorded time.
Attempting to manipulate, falsify, or misrepresent timestamps or report content may constitute a violation of applicable law. We reserve the right to report suspected falsification to appropriate regulatory authorities.
Suspension and termination
Termination by you
Supervisors may delete their agency account through the platform. Account deletion is permanent and will result in the immediate deactivation of all associated administrator and care worker accounts. A 14-day recovery window applies following account deletion requests.
Termination by us
We reserve the right to suspend or terminate your access to Voisight at any time, with or without notice, if we have reason to believe that you have violated these Terms, engaged in fraudulent or illegal activity, or posed a risk to the security or integrity of the platform or its data
Effect of termination
Upon termination, your right to access and use the platform ceases immediately. Provisions of these Terms that by their nature should survive termination will do so, including intellectual property provisions, disclaimers, and limitations of liability.
Disclaimers
Voisight is provided on an “as is” and “as available” basis without warranties of any kind, whether express or implied. We do not warrant that the platform will be uninterrupted, error-free, or free of harmful components. We do not warrant that AI-generated report content will be accurate, complete, or suitable for submission to any regulatory authority without your review and verification.
Nothing in these Terms constitutes legal advice, regulatory compliance advice, or professional guidance of any kind. You remain solely responsible for ensuring that your use of the platform and the reports you submit comply with all applicable laws and regulatory requirements.
Limitation of liability
To the fullest extent permitted by applicable law, Voisight shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or relating to your use of the platform, including loss of data, regulatory penalties, or claims by third parties.
Our total aggregate liability to you for any claim arising out of these Terms or your use of the platform shall not exceed the total fees you paid to us in the twelve months preceding the claim.
Governing law and dispute resolution
These Terms are governed by the laws of the United States and, to the extent applicable, the laws of the state in which your facility is licensed. Any dispute arising out of these Terms shall first be subject to good-faith negotiation. If negotiation fails, disputes shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association.
Changes to these terms
We may update these Terms from time to time. When we make material changes, we will notify you through the platform and by email to your registered address. Your continued use of Voisight after the effective date of any updates constitutes your acceptance of the updated terms.
